About the Role:

As an Office Administrative Assistant, you will join the People Operations team as a key supporting member for our Office Manager.  You will take ownership of and partner with the Office Manager to keep the office running smoothly, and help keep everyone organized.  You will own our front desk responsibilities, which includes answering phones, greeting guests and managing in/outflow of packages. You will also be involved in coordinating Company Events including our Formal Fridays, Outside-In speakers, Town Halls & other staff events.  If you are incredibly organized, have a great sense of humor, can be flexible during busy times, and are looking for a fast-paced environment filled with some of the most talented professionals in Charlotte, this could be a great fit for you.

Responsibilities:

  • Organizer Extraordinaire: Able to juggle multiple tasks every day.  Always paying attention to the details and nuances of the various people involved
  • Number Cruncher: Manage/Maintain expenses for Office Supplies and ensure expenses are within budget
  • New Hire Concierge: Assist in effectively managing onboarding process for new hires
  • Event Master Planner:  Assist the OM & Executive Admin: you pay attention to the details, you are aware of nuances tied to the people involved, and you make sure everything runs smoothly
  • Meal Master: Coordinate meal planning (pre-planned as well as last minute as needed)
  • Front Desk Traffic Controller: Greet Visitors, Vendors, Employees, and be responsible for incoming and outgoing mail. Keep security tight always issue visitor badges to non-staff.
  • Support Office Manager as back-up when they are out of the office
  • Other projects and miscellaneous tasks as needed

Qualifications:

  • Bachelor’s degree or relevant work experience
  • Previous experience as an executive assistant, office manager, administrative assistant, or in other related fields is strongly preferred
  • Ability to prioritize workload and self-manage projects, handle multiple tasks, and meet deadlines  
  • Experience supporting business development, engineering, technical, and design teams
  • Strong analytical and conceptual thinking skills  
  • A detail oriented individual with strong problem-solving and decision-making skills
  • Energetic, hard-working, competitive and open-minded – someone who can’t wait to beat every goal they are handed and also brings a sense of humor to the workplace
  • Strong organizational skills as well as strong attention to detail
  • Tech savvy – very comfortable with digital technologies (google docs, spreadsheets, the interwebz) and demonstrated ability to create reports and analysis
  • Excellent interpersonal, verbal, and written communication skills
