About the Role

The majority of our sales come through a competitive procurement process, which requires answering a government or private sector Request for Proposal (“RFP”). The Sales Coordinator owns the procurement process and works hand-in-hand with the sales and product teams to construct and execute responses. The Sales Coordinator will manage the entire project timeline and ensure a high quality product is delivered on time. The proposal is the most important step in bringing new business to Passport and the Sales Coordinator plays a huge role in our continued success.

You'll collaborate with our product, engineering and marketing teams to translate highly technical and complex concepts into clear, concise, and powerful written products. You'll prepare documents that effectively communicate the value proposition of Passport’s products. You'll write, edit, and rewrite sales proposals in order to put forward the most compelling solution possible based on the specific requirements of each and every proposal.

As well as managing the RFP process you’ll support all field sales work being undertaken by the sales team.  You’ll utilise your skills to ensure the sales team have the proper equipment and literature to do their jobs.  You’ll support sales plans and work collaboratively to maximise all sales opportunities outside of the RFP process.

Here's what you'll do everyday:

  • Read through RFPs, organise meetings with the deal team lead to develop a strategy for responding to the RFP
  • Organise and format proposals in accordance with Passport’s standardised writing rules and layouts
  • Ensure compliance with technical requirements
  • Collaborate with members of the sales, marketing, finance, legal, or product teams to ensure content is complete, accurate, and timely
  • Write persuasive and accurate responses to RFPs that are read by key stakeholders in the largest cities in the world
  • Create simple graphics to visually represent written statements
  • Process new sales leads as necessary
  • Answer queries from customers and enquiries from prospective customers
  • Track all sales activity and performance to budget.
  • Provides any necessary data or reports to the sales team
  • Arrange appointments with clients and sales team
  • Acknowledge customers by responding to emails, texts, and phone calls
  • Update all contact information for clients
  • Deals with any customer complaints and resolves the issue as necessary
  • Does any necessary administrative work including filing reports or presenting sales team with necessary documents

You also love ensuring that everything in a proposal matches requirements.

Qualifications:

  • Bachelor’s degree
  • Preferably at least 1 year of business experience in technical or content writing roles or with SaaS experience; government experience is a plus
  • Strong grammatical skills
  • Proven track record of consistently delivering and meeting deadlines
  • Excellent communication skills (written, verbal, and listening) with the ability to work effectively across internal and client teams
  • Experience with “Sketch” or similar graphics software is a plus
  • Demonstrated ability to think critically and analytically
  • Amazing time management and organisational skills; grace under pressure
  • Ability to manage multiple projects at the same time
  • Proven experience meeting conflicting deadlines without sacrificing quality of work
  • Ability to learn quickly and continuously improve
  • Ability to work through ambiguity
  • Comfort with regular change and ability to be nimble/resourceful through change
