Job Summary:

It’s a month before our biggest conference of the year, ThinkTransit.

One day, you might be on the phone with our vendors, ensuring equipment is scheduled to leave our warehouse on time. Another day you might be putting together a budget report for the Executive leadership team. Another day you might be leading a brainstorm on what to do differently for the conference’s keynote presentation.

There’s tons to do but you thrive on the rush of meeting customers’ needs, delivering an exceptional customer experience, and helping to transform the transit industry.

Of course, there are quieter days too! Days when you get to dig into the data and identify the ROI of events or meet with other departments to gather event feedback.

Then there are the days that you get to travel, meet clients, and pick the best venue for our next conference – and even test out local activities (we’re known to have fun, themed receptions and our customers really love to dress up!).

We’re looking for a Marketing Events Coordinator/Specialist who is ready for a new challenge and a rewarding experience.

Job Description:

As part of a creative, energetic, and passionate team of marketers, you will:  

  • Oversee events from planning to execution, ensuring KPIs are met, managing all logistics   

  • Identify strategic sponsorship and speaking opportunities to support brand awareness  

  • Act as the main point of contact for events, sponsorships, association memberships  

  • Lead all aspects of event planning, including internal and external logistics of each event (registration, sourcing third-party vendors, overseeing hotel/venue logistics, booth set-up, staffing, etc.); develop, deliver, and maintain event templates; and adhere to event budget management and assist with tracking/reporting on performance measures, ROI  

  • Support Trapeze’s annual user conference-- ThinkTransit, the Trapeze Technology Conference – driving its ongoing evolution in a world-class industry-recognized event  

  • Collaborate with other Marketing team members to ensure that event execution is aligned with campaigns and specific event-driven requirements  

  • Ensure related campaigns and contacts are maintained and leveraged within key marketing automation and CRM systems  

  • Provide support to facilitate administration of marketing automation systems (Marketo) and CRM systems (Salesforce), and others as required   


  • 2 years of event experience, ideally in a B2B environment   

  • Bachelor’s degree, preferably in Marketing or Business  

  • Proven skills in managing and executing on multiple projects simultaneously  

  • Experience with marketing automation systems (Marketo) and CRM systems (Salesforce) is preferred 

  • Ability to travel up to 20% 


  • Passionate about events and event planning   

  • Thrives in an agile, fast-paced environment  

  • Hands-on and eager to roll up sleeves to get things done  

  • Great interpersonal skills, ability to work with key stakeholders internally and external to the business  

  • Superior verbal communication and presenting skills
